Accounts Payable - Processing Payments

Learn how to process invoices through Accounts Payable including, Trip Vouchers, Payment Authorizations (ICAs or LEAs), invoices associated with POs, and Direct Pay Requests. Website updates will also be shared.

Chaos and Confusion:  Learning on the edge of uncertainty

Living in the era of post-pandemic, rising political division in the word, and facing the ever changing challenges in higher education, our students as products of our environment, has created new and complex opportunities for college administrators, staff, and faculty as we attempt to navigate the uncertainties of so many difficult realities. This workshop will provide current resources, including the formal introduction of our "Red Folder," concrete tips and strategies on how to work with difficult people and situations, and reducing uncertainty by shifting our approach by developing a "heart" for all possibilities as we learn to move through this chaos and confusion together.

Saving for Retirement with 403(b) and 457(b)

District Payroll brings awareness to our employees on the 403(b) and 457(b) plans that are available to promote saving for retirement during district employment. The district currently sponsors eight vendors in 403(b) Tax Shelter Annuities and three in 457(b) Deferred Compensations Plans. There will be vendor representatives and independent financial advisors on site prior to and after the workshop for the attendees to ask questions. Substance Use Prevention and Narcan Training

1. The workshop will review the most commonly used substances (i.e., alcohol, marijuana, vaping/e-cigs, Rx drugs (fentanyl/opiods)) among college students.

2. Will review the impact of substance use among college students and preventive strategies including Narcan training. Narcan kits and Fentanyl test strips will be provided to all participants.

Purchasing - Contracts and Insurance 101

Informative workshop designed specifically for staff who manage contracts and insurance within our district. This session will provide an in-depth look at various contract types, district templates, and best practices to ensure effective and efficient contract management. Topics will include understanding different types of contracts, selecting appropriate templates, key elements for compliance, tips and strategies for minimizing risks and ensuring successful contract execution. We will also provide a comprehensive overview of the district's specific insurance requirements to ensure all participants are well-informed and compliant with Purchasing requirements.

Open Forum for Payroll Topics:  Where, what, when and hows on payroll-related topics

Please bring us your questions to this forum to be answered by the members of the Payroll team. Questions such as:  How do I read my pay stub? What is in the payroll website? How do I complete my time report? When is the time report available and due each month? What is the pay date each month? What are the online services in employee self-service? How can I change the Federal and or State Tax withholding status? How do I enroll in direct deposit and how soon can it go live? When are W-2s available in January? Etc.

How Print-Impaired Students Access Computers and Read Textbooks

De Anza's alternate media specialist will demonstrates how, despite visual impairment, she works with Microsoft Office, takes Canvas courses, reads digital materials and surfs the web. The audience will learn how access technology levels the playing field for those with learning and visual disabilities, plus those new to the English language. Many free and low-cost solutions will be explored.

Run Hide Defend

This two-hour training session is for students, faculty, administrators and staff. We will provide an overview of campus safety awareness, statistics, behavior indicators, prevention and response in the event of an active assailant. Sadly, increasing national tragedies remind us that the risk and increase of these types of attacks are real. Taking a few steps now to learn about preparedness can help you react quickly when every second counts.

Fraudulent Student Detection and Prevention

ETS has developed a comprehensive fraud detection application to minimize application fraud. This application combines the detection of fraudulent profile information with the analysis of applicant behavior patterns using AI. It would be great for you to familiarize yourself with the current efforts and ask questions about this important application, which impacts many of our students.

Freshservice - IT Help Desk & Ticketing System User Training

Please join ETS for a training session on the use of Freshservice, the district's new help desk and ticketing system. In this user training session, you will learn about the functions of the new system, how to access the help desk, and how to submit and track your tickets. You will also have a chance to familiarize yourself with the new layout and ask questions. This training session is highly encouraged for all employees.
